1. Appointment

When to use it

  • You want to formally record who is responsible for POPIA compliance in your organisation
  • You are registering, or updating your registration, with the Information Regulator
  • A client or auditor asks who your Information Officer is

Before you use it

  • By default the Information Officer of a private company is its head (for example the CEO or the sole owner). Check how the Act applies the role to your type of organisation
  • The person must understand the role and have the time and authority to carry it out
  • Appointing the officer is not the same as registering: registration is completed with the Information Regulator, so keep this letter with your registration confirmation
  • Have an attorney review the letter if the structure is unusual, for example a group of companies
